Job Title: Administrative Assistant (Wealth Management)

Location: Vancouver, BC (In-Office)

Term: Part-Time (July – Aug 2026) | Full-Time (Sep2026 – Aug 2027) | Potential Extension

 

About the Role

We are a high-touch Wealth Management firm looking for a detail-oriented, proactive

Administrative Assistant to support our team and cover a maternity leave. This role is perfect for

someone who thrives on organization, enjoys clear processes, and prioritizes great client

experience.

The Schedule

  • Phase 1: Part-time from hire date until August 2026.

  • Phase 2: Full-time (37 hours/week) from September 2026 to August 2027.

  • Phase 3: Potential extension after August 2027.

 

Key Responsibilities

Account Operations: Open new accounts, request transfers, and follow up with our

back office and external financial institutions to ensure requests are completed.

Data Management: Maintain our CRM system and client spreadsheets with 100%

accuracy.

Client Support: Facilitate intake forms, request tax returns/legal documents, and

provide clients with requested reports and tax slips.

Communications: Manage the general email inbox and phone lines with kindness and

professionalism.

Office Management: Keep the office organized, manage inventory of supplies/snacks,

handle incoming/outgoing mail, and scan invoices and other documents.

Logistics: Assist the Marketing Coordinator and Financial Advisor with shipping

seasonal gifts and mailing holiday cards and documents.

 

Qualifications

Knowledge: post-secondary education, financial planning and/or investment related

courses, Basic understanding of various account types such as RRSP, TFSA, etc.

Experience: Previous experience in an administrative role (Financial Services or Wealth Management preferred).

Tech-Savvy: Proficiency in CRM systems and Excel.

Traits: Exceptionally organized, polite, and respectful. You must be comfortable with

repetitive follow-up tasks and maintaining high standards of cleanliness and order.

Communication: Fluent in English with a professional phone manner. Mandarin is an

asset.

 

Compensation

Salary: $25 – $30 per hour (commensurate with experience).
